How Crossware works
Crossware uses server-side signature injection through Exchange Online transport rules. Your outgoing emails are processed by Crossware's service where signatures are stamped before delivery. This is the same approach used by most enterprise signature tools.
MailTail works entirely client-side. The Outlook add-in applies your signature directly in the compose window before you hit send. No transport rules, no mail flow changes, and your email content never passes through a third-party service.
Crossware pricing
Crossware does not publish pricing on their website. To get a quote, you need to contact their sales team. This makes it difficult to compare costs upfront or budget accurately before committing.
MailTail pricing is public and straightforward: £0.57/user/month or £5.81/user/year with annual billing. No sales calls, no custom quotes, no surprises. You can see exactly what you will pay before signing up.
Setup and getting started
Crossware requires configuring Exchange Online connectors and transport rules to route emails through their service. This involves changes to your Microsoft 365 mail flow configuration, which can be complex for teams without dedicated Exchange administrators.
MailTail deploys as an Outlook add-in through the Microsoft 365 admin center. There is no mail flow configuration required. Deploy the add-in, assign your signatures, and your team is up and running. Most setups take under 15 minutes.
Who is Crossware built for?
Crossware is an established provider based in New Zealand, serving organisations that need server-side signature management. They support multiple platforms and offer features aimed at larger enterprises with complex requirements.
MailTail is purpose-built for Microsoft 365 teams who want something simpler. If you do not need multi-platform support and prefer transparent pricing with a quick setup, MailTail is the straightforward alternative.
